WHY THE JOB EXISTS Position serves to support and assist Walter Reed National Military Medica Center facility management operations and construction projects. Proactively addresses issues associated with current practices and processes for facility and construction programs. The work provides on-site assistance for technical support for to perform document control for the Walter Reed National Military Medical Center Facilities Management Department Assignments normally involve support for medical and dental facilities, technical and research laboratories, industrial facilities, and office buildings. The work includes necessary field investigation to support the work. Work Location: Walter Reed National Military Medical Center, Bethesda, MD. One position is available.
PRIMARY DUTIES Coordinate closely with the Operations Manager and Project Managers within Walter Reed National Military Medical Center Facilities Management Department with the goal to allow Project Managers and Supervisors to focus on job execution, while ensuring implementation of our core business processes. You shall also act as the focal point on all projects ensuring they move smoothly through all Project Milestones, keeping a focused attention on document control and project close out. Work involves a variety of the following duties:
Write and maintain procedures for the creation and development of document control processes.
Implement processed to eliminate misfiled, lost, stolen paper documents. Security features are currently used on the FMD share-drives
Timely distribution of latest revision level documentation to all appropriate users and ensure that obsolete documentation is removed from distribution.
Maintain a computer database of all filed documentation that ensures fast retrieval of documents.
Perform input duties to generate documents, as necessary.
Set up Corporate Library; organize and coordinate all necessary documents and materials to be able to support staff in more effectively utilizing theinformation. Provide support to office personnel in identifying materials for storage, scanning and disposal.
Scan documents as appropriate and ensure they are properly stored; dispose of paper materials as appropriate.
Manage the operation of the document control center to ensure that all users
have the latest revision of appropriate documentation in a timely manner.
Adhere to the Federal Government requirements of conservation by recycling paper copies
Administration of document management/control systems
Maintain document registers
Issue documents and correspondence
Receive documents from NAVFAC and adding control information
Perform a quality control check of all outgoing and incoming documents.
Ensure that document properties held within the management system are accurate.
Produce documentation status reports for Project Managers
Convert documents from their native formats to pdf when required.
Train members of staff in document control processes
Support the ongoing design of the document management system.
Coordinate with other document control staff

KNOWLEDGE, EXPERIENCE AND SKILL REQUIREMENTS
Two year business degree or equivalent
Six years administrative experience
Four years experience in records management
Knowledge of ISO document retention standards
Proficient in the use of standard office software programs and equipment
Well organized and able to work independently
